If you are interested in applying for a grant from Trace Foundation, you are encouraged to contact the Grants Manager by email grants@trace.org or phone (+86-28-6654-3245). After hearing your initial idea the Grants Manager will inform you whether or not it meets the basic requirement to apply and you will be asked to submit a proposal.
To submit a proposal, applicants should use the relevant Grant Proposal and Budget Forms provided by Trace Foundation. To obtain the necessary forms, click download grant forms to the left. They can also be obtained at the nearest Foundation office or by contacting the Grants Manager.
Proposals submitted using other formats will not be accepted. Applicants may attach additional information at their discretion.
Applications may be submitted by email, post or fax to the Grants Manager, or to the nearest Foundation office.
The deadline for submission of proposal forms for 2010 is October 15th. Proposals received after this date will not be considered for funding in the following year.
Submitted proposals are reviewed on an annual basis at the beginning of the year following the submission (i.e. proposals submitted by 15th October 2010 will be reviewed between January and March 2011).
By April 30, applicants will be notified in writing of Trace Foundation’s decision.
For the convenience of our grant seekers applications submitted between October 15th and June 1st will receive a preliminary evaluation in July. If the preliminary evaluation is successful the grantee will be informed that we will consider the proposal in the annual final review process. A successful preliminary evaluation does not guarantee funding. If the preliminary evaluation is unsuccessful, the grant seeker will also be informed so he or she can continue to search for alternative funding.
Changes to the submitted proposal
During the time that a proposal is under review, applicants must notify the Grants Manager of any significant changes in the original proposal.
Once the applicant has been notified of the approval of the grant, the Foundation will prepare a grant agreement within two months, establishing the terms of the grant. This contract must be signed by the grantee and Trace Foundation’s representative before funds can be disbursed.
All reporting requirements are clearly stated in the Grant Contract. Grantees are requested to submit both narrative and financial reports:
Narrative - a summary of project activities and outcomes.
Financial – financial report detailing expenses related to the particular grants using the Expenditure Responsibility Report Form that will be provided to grantee at signing of contract.
Other reporting requirements or conditions may be included in the grant agreement. If so, the grantee is required, as a part of the grant expenditure responsibility process, to fulfill these terms in addition to providing narrative and financial reports to the foundation.
Any grantee provided with capital equipment or funds to purchase capital equipment will be required to file annual reports with Trace Foundation for a minimum of three years.
Grantees are requested to publicly acknowledge Trace Foundation's support as appropriate in any publication or media coverage pertaining to the subject of the grant. Certain grants may be subject to other conditions which will be enunciated in the grant agreement.
